Field-Booker LLC, a Florida limited liability company (“Field-Booker,” “we,” “us,” or “our”), is committed to protecting the privacy and security of personal information. This Privacy Policy governs our data collection, processing, and disclosure practices with respect to the website located at https://www.field-booker.com, all subdomains, the Field-Booker web and mobile applications, APIs, embedded booking widgets, and all related services (collectively, the “Platform”).

1. Scope and Applicability

This Privacy Policy applies to all individuals who access or use the Platform, including Venue Owners (sports-venue operators who subscribe to our SaaS services) and Customers (end-users who book time slots at venues). By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy.

2. Controller and Processor Roles

2.1 Field-Booker acts as a data controller with respect to personal information submitted directly to us by Venue Owners and visitors to our marketing website.

2.2 With respect to personal information of Customers collected through a Venue's booking page or widget, the Venue Owner is the independent data controller, and Field-Booker acts solely as a data processor acting on the Venue Owner's instructions.

4. Sources of Personal Information

We obtain personal information from: (a) You directly (account registration, profile updates, support requests); (b) Your device and browser automatically; (c) Third-party analytics and advertising partners; (d) Stripe (limited to connection status and account verification metadata only); and (e) Publicly available sources (venue verification).

5. Purposes of Processing

We process personal information for the following business and commercial purposes:

  • 5.1 To provide, maintain, and improve the Platform
  • 5.2 To create and manage user accounts
  • 5.3 To facilitate bookings and display availability
  • 5.4 To send transactional communications
  • 5.5 To detect, prevent, and respond to fraud, abuse, or security incidents
  • 5.6 To comply with legal obligations
  • 5.7 For internal analytics and product development
  • 5.8 To enforce our Terms and Conditions
  • 5.9 To communicate marketing and promotional offers (only where permitted or with consent)

6. Legal Bases for Processing (EEA, UK, and Switzerland)

Where applicable data protection laws require a lawful basis, we rely on: (a) Performance of a contract with you; (b) Our legitimate interests (security, analytics, service improvement); (c) Compliance with legal obligations; and (d) Your consent (where explicitly obtained).

8. Sale or Sharing of Personal Information

We do not sell personal information as the term “sell” is defined under the CCPA/CPRA or other U.S. state privacy laws. We do not “share” personal information for cross-context behavioral advertising.

9. International Data Transfers

The Platform is hosted in the United States. Personal information may be transferred to and processed in the United States or other countries that may not provide equivalent levels of data protection. We implement Standard Contractual Clauses approved by the European Commission and UK International Data Transfer Addendum where required.

10. Data Retention Periods

We retain personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy and as set out below or in Section 10.5.

10.5 Data After Account Cancellation or Termination
Upon cancellation or termination of your Venue Owner account:

  • You may export your data (venue details, booking history, customer lists, etc.) using the export tools provided in the Platform within thirty (30) days of cancellation or termination.
  • After this 30-day grace period, we may irreversibly delete your account and all associated data.
  • Notwithstanding the foregoing, we will retain copies of your data (including personal information) for up to seven (7) years after termination (or longer if required by law) solely for legal, tax, accounting, audit, backup, dispute-resolution, or enforcement purposes.
  • If you submit a written deletion request to support@field-booker.com within the 30-day grace period, and subject to our legal retention obligations, we will permanently delete or anonymize your personal information to the extent permitted by applicable law.
  • Customer personal information processed on your behalf will be handled in accordance with the Data Processing Addendum (if executed) or deleted/anonymized upon your instruction.

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, or destruction.

12. Your Privacy Rights – United States

California and other state residents may have rights to: (a) Know what personal information we collect, disclose, or sell; (b) Request deletion of personal information; (c) Opt out of sale or sharing (not applicable); (d) Limit use of sensitive personal information (not applicable); and (e) Non-discrimination for exercising rights.

13. Your Privacy Rights – EEA, UK, Switzerland

The rights described in this section (access, rectification, erasure, restriction of processing, data portability, objection to processing, and the right to withdraw consent) are granted only to individuals whose personal information is subject to the GDPR, UK GDPR, or equivalent Swiss data protection law, and only to the extent such laws actually apply to Field-Booker's processing of their data.

Field-Booker does not actively target or market the Platform to individuals located in the European Economic Area, United Kingdom, or Switzerland. If you are not located in one of those jurisdictions (or if the relevant data protection law does not impose obligations on Field-Booker with respect to your data), these rights do not apply. Where these rights do apply, you may exercise them by contacting support@field-booker.com. You also have the right to lodge a complaint with a supervisory authority.

14. Do Not Track

We do not currently respond to browser “Do Not Track” signals.

15. Cookies and Similar Technologies

We use only strictly necessary cookies and similar technologies that are essential for the core operation and security of the Platform (for example: authentication tokens, session management, CSRF protection, and load balancing).

We do not use analytics, advertising, marketing, or tracking cookies of any kind. We do not use Google Analytics, Mixpanel, Hotjar, or any similar third-party tracking services.

Because we use only strictly necessary cookies, no cookie banner or consent mechanism is displayed, and you cannot opt out of these essential technologies without ceasing use of the Platform.

16. Third-Party Links

The Platform may contain links to third-party websites (including Venue Owner websites and Stripe). We are not responsible for their privacy practices.

17. Children's Privacy

The Platform is not directed to individuals under 13 (or 16 in certain jurisdictions). We do not knowingly collect personal information from children.

18. Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at any time. Material changes will be communicated via email or a prominent notice on the Platform.
